App Privacy Policy

1. Who we are

The PSIM 2027 app (“the app”) is provided by the Pakistan Society of Internal Medicine (PSIM) for its 8th Annual International Conference. The app lets delegates view the scientific program, speakers and venue, register for the conference, submit abstracts, take part in live polls, give feedback and receive conference announcements.

PSIM is responsible for the personal information collected through the app. This policy explains what we collect, why, and the choices you have.

2. Information we collect

You can browse the program, speakers, venue and announcements without an account. We only collect personal information when you create an account or use a feature that needs it.

When	What we collect
Creating an account / signing in	Name, e-mail address and a password (the password is handled by Google Firebase Authentication – we never see or store it). If you choose “Sign in with Google” or “Sign in with Apple”, we receive your name and e-mail address from that service. Optionally: phone number, institution and city in your profile.
Conference registration	Title, full name, e-mail, WhatsApp / mobile number, PMDC registration number, designation, institute, postal address, CNIC number (optional – used to confirm PSIM lifetime membership), registration category and selected workshops, amount due, payment method (cash or bank transfer), payment reference and, for bank transfers, a picture of your deposit slip.
Abstract submission	Specialty, abstract title, author name, designation, institute, PMDC number, WhatsApp number, CNIC number, e-mail, profile photo, and the abstract, presentation (PPT) and poster files you upload.
Polls, feedback and contact form	Your poll answers (linked to your account so each person votes once), feedback ratings and comments with your name and e-mail, and messages you send through “Contact Us” (name, e-mail, subject and message).
Registrations made on your behalf	A company or organisation (for example a pharmaceutical sponsor) may register you as a delegate through a group link. They provide your name, PMDC number, mobile number, e-mail and designation.
Technical information	The IP address of registration requests (to prevent abuse), the time you last used the app, and standard server logs (IP address, time, requested page) kept by our hosting provider for security.
On your device only	Your theme choice (light / dark), whether you have seen the welcome screens, and a temporary copy of conference content so the app opens quickly. These stay on your device.

We do not collect your location, contacts, microphone recordings, card numbers or bank log-in details, and the app contains no advertising and no third-party analytics or tracking.

3. How we use your information

To create and manage your account and keep you signed in.
To process your conference registration: check your details, confirm PSIM lifetime membership (by matching your e-mail or CNIC with PSIM’s lifetime-member list), verify payments, issue your registration number, QR code and name badge.
To receive, review and schedule abstracts, and to tell you about their status.
To send you service e-mails and in-app notifications about your registration, abstracts and the conference (for example confirmations, approvals, schedule changes). These are not marketing messages.
To run live polls and collect feedback that helps us improve the conference.
To answer your questions and support requests.
To keep the app and our servers secure and to prevent fraud or misuse.
To keep records PSIM needs for accounting and continuing-medical-education purposes.

We use your information only for running the conference and PSIM’s related activities. We do not sell your personal information and do not use it for advertising.

4. When information is shared

Conference organisers: authorised PSIM organising-committee members and staff who manage registrations, abstracts and payments can see the information needed for their role.
Service providers that operate the app for us, only to provide their service:
- Google Firebase Authentication (sign-in), and Google / Apple when you choose to sign in with them;
- our web-hosting provider, which stores the app’s database and uploaded files;
- our e-mail server, which sends registration and abstract e-mails.
Group registrations: if a sponsor or organisation registered you through a group link, it already holds the details it submitted; we may tell it whether those registrations were confirmed.
When required by law, or to protect the rights, safety and security of PSIM, delegates or others.

Links in the app (for example the live-stream on YouTube, maps, the venue website or WhatsApp) open other services. Their own privacy policies apply to what you do there.

5. Information that others can see

Name badge QR code: anyone who scans the QR code on your badge sees your registration number, name, designation, organisation and registration status, so that entry staff can check it.
Faculty and speakers: if you are invited as faculty, the name, photo, designation, institution and biography you provide are shown in the app’s program and speaker pages.
Poll results are shown only as totals, never with voters’ names.

6. Device permissions

Notifications (Android 13 and later): to show conference announcements. You can turn this off in your phone’s settings at any time.
Photos and files: when you attach a deposit slip, profile photo or abstract file, the app opens your phone’s own photo / file picker and only receives the item you select. The app does not access your photo library or files otherwise.
Internet access to load conference content and send your submissions.

7. How long we keep information

We keep registration, abstract and payment records for as long as they are needed for the conference and for PSIM’s accounting, audit and certificate records, and account information for as long as your account is active. Uploaded deposit slips and files are kept only as long as needed for these purposes. After that, information is deleted or anonymised. You can ask us to delete your information earlier – see section 10.

8. Security

All communication between the app and our servers is encrypted (HTTPS). Passwords are handled by Google Firebase and never stored by PSIM. Access to registration and abstract data is limited to authorised organisers with individual log-ins and role-based permissions. No method of storage or transmission is completely secure, but we work to protect your information and will act promptly if a problem occurs.

9. Your choices and rights

You can use most of the app without an account.
You can see your registration and abstract status in the app, and ask us to correct any of your details.
You can ask for a copy of the personal information we hold about you.
You can ask us to delete your account and personal information (see below).
You can turn off notifications in your phone’s settings.

To make a request, e-mail us at the address in section 13. We may ask you to confirm your identity before acting on the request.

10. Deleting your account and data

To delete your PSIM 2027 account and the personal information linked to it:

Send an e-mail to psim2027@gmail.com with the subject “Delete my PSIM 2027 account”.
Send it from the e-mail address you use in the app (or include that address and, if you have one, your registration number).

We will confirm your request and delete your account, profile, registration details, uploaded files, abstracts, poll answers and feedback within 30 days. We may keep a minimal record (such as your name, registration number and payment amount) where it is needed for accounting, audit or certificate records, or when the law requires it; this record is not used for any other purpose. Anonymous totals (for example poll results) are not affected.

11. Children

The app is intended for doctors, healthcare professionals and students attending a medical conference. It is not directed at children, and we do not knowingly collect personal information from children under 13. If you believe a child has given us personal information, please contact us and we will delete it.

12. Changes to this policy

We may update this policy when the app or the law changes. The new version will be posted on this page with a new effective date, and important changes will be announced in the app.
